Centralizing access to regulatory documents and ensuring their quality and reliability.
The Departmental Fire and Rescue Service of Lot (SDIS 46) coordinates the activities of all fire stations in the department. It is responsible for fire prevention, protection, and fighting. Alongside other relevant services and professionals, it contributes to protecting against and managing other accidents, disasters, and emergencies, as well as assessing and preventing technological or natural risks and providing emergency assistance.

As a public administrative institution, SDIS 46 has 30 fire and rescue stations, each covering an operational area.

The challenge

SDIS 46 lacked a dedicated tool for internal communication. Email was the only means of reaching all personnel, requiring manual and tedious updating of distribution lists.

Moreover, SDIS 46 had a significant base of regulatory documents, much of which existed only in paper format and was scattered among several individuals, not always clearly identified.

In response to these challenges, SDIS 46 aimed to implement an intranet to:


  • Modernize its internal communication. The goal was to create a tool for disseminating internal information to all personnel. Each individual, based on their status and needs, should be able to quickly access institutional information, contribute to it, share knowledge, and seek assistance.

  • Centralize access to regulatory documents and ensure their quality and reliability. Personnel should be able to access up-to-date documents at any time and on the go, supported by a powerful search engine.

Implementation

The project, led by a team of about ten people, was deployed quickly, in just 5 months. Several workshops were conducted throughout this period to structure information, prepare internal communication, and organize the database of regulatory documents. Workshops dedicated to different use cases were also organized, with specific support, building each workspace on the platform.

The intranet was launched at the end of February for all 1,000 agents, the majority of whom are volunteer firefighters. The strong involvement of personnel since the intranet's launch deserves recognition. The nearly daily dissemination of information on the platform also contributes to personnel engagement.
